How to Delete a Form in Zibster
Overview
You can delete forms from your Zibster Forms dashboard when you no longer need them. Deleting unused forms helps keep your Forms area organized and removes forms that are no longer active.
Before deleting a form, it is important to know that deleting a form is permanent and cannot be undone. If the form has submissions, those submissions must be deleted before the form can be removed.
Before You Delete a Form
Deleting a form is permanent. Once a form is deleted, it cannot be restored.
If your form has submissions, you must delete the submissions before you can delete the form. Deleting submissions is also permanent and cannot be undone.
Deleting submissions may also permanently remove related submission history, including order history, signed contracts, payments, uploaded files, and other records connected to the submission.
If you want to stop using a form but keep its submission history, consider one of these options instead:
- Rename the form so it is clear the form is no longer active
- Set an expiration date for the form
- Create a form category called Retired Forms and move unused forms into that category
These options allow you to keep your form data while reducing clutter in your active Forms list.
STEP ONE
Log into your Zibster account and click FORMS in the left-side menu.
This opens your Forms dashboard, where you can view and manage the forms in your account.
STEP TWO
Find the form you want to delete.
Click the checkbox next to the form name. Then click the DELETE button at the top of the Forms dashboard.
You can delete multiple forms at once by selecting multiple checkboxes before clicking DELETE.
STEP THREE
A confirmation message will appear. The message you see depends on whether the selected form has submissions.
If the form has submissions, you will see this message:
"One or more of the forms selected have submissions linked to them.
Please remove all submissions from the forms first and try to delete the forms again. Deleting submissions is permanent and cannot be undone."
This means the form cannot be deleted until all submissions connected to that form are removed.
If the form does not have submissions, you will see this message:
"Are you sure you want to delete this form? Deleting a form is permanent and cannot be undone."
Review the message carefully before continuing.
STEP FOUR (Optional)
If the form has submissions, click SUBMISSIONS at the top center of your Forms dashboard.
This opens the submissions history for your forms.
Before deleting submissions, review them carefully. If you need to keep a record of the responses, export or save the information before continuing. Once submissions are deleted, they cannot be restored.
STEP FIVE (Optional)
Click the name of the form that contains the submissions you need to delete.
This opens the submissions connected to that form.
STEP SIX (Optional)
Select the submissions you want to remove.
To remove all submissions from the form, check the box to select all submissions. Then click DELETE.
A confirmation message will appear asking:
"Are you sure you want to delete this submission?"
Click YES, DELETE IT to confirm.
Deleting submissions is permanent. Any history associated with the submissions is also permanently deleted from your account and cannot be recovered. This may include order history, signed contracts, payments, and other submission-related records.
STEP SEVEN (Optional)
If a submission includes a file upload, you may need to remove the file from the submission before the submission can be deleted.
If the file must be removed first, you will see this message:
"This submission has a file linked to it.
Please remove the file from this submission first and try to delete it again."
Find the file upload section on the submission. Click the trash can icon next to the uploaded file to remove it.
Once the file has been removed, return to the submissions area and delete the submission.
Deleting uploaded files is permanent. Once a file upload is deleted, it cannot be restored.
FINAL STEP
After all submissions have been removed, return to the Forms dashboard.
Select the checkbox next to the form name again, then click DELETE.
If you are sure you no longer need the form, click YES, DELETE IT to confirm.
The form will be permanently removed from your Forms dashboard. You will no longer see it in your list of available forms.
Additional Options and Helpful Notes
If you are not ready to permanently delete a form, you can keep the form in your account and make it easier to manage.
You may want to use one of these options:
- Rename the form with a label such as Old, Inactive, or Retired
- Set an expiration date so visitors can no longer submit the form
- Move the form into a Retired Forms category for organization
This is recommended if you may need to reference previous form settings or submission data later.
