How to Create and Send an Invoice in Zibster
Overview
You can create and send invoices from your Zibster account to collect payment for sessions, services, products, digital images, packages, and custom charges. Invoices use your Global Branding settings to provide clients with a professional and consistent payment experience.
This guide explains how to create an invoice, add line items and client information, configure payment options, and send the completed invoice to your client.
Before You Begin
Before creating an invoice, make sure your Global Branding information is current. Your invoice will automatically use the business name, logo, colors, and other branding saved in your account.
The logo and overall invoice design cannot be changed for an individual invoice. If you have not uploaded a logo, your business name will appear instead.
STEP ONE
Log into your Zibster account and click QUOTES & INVOICES in the left-side menu.
This opens the Quotes & Invoices Dashboard, where you can access invoices, quotes, settings, payment activity, and other invoicing tools.
STEP TWO
Click INVOICES at the top of the Quotes & Invoices Dashboard.
The Invoices section displays the invoices saved in your account. From this page, you can review existing invoices or create a new invoice.
STEP THREE
Click NEW INVOICE.
Zibster will create a new invoice and display a live preview of its layout.
The invoice number is automatically generated and does not need to be entered manually. Your invoice will also use the colors, business information, and logo saved in your Global Branding settings.
As you add items and information, the invoice preview will update automatically so you can review what your client will see.
STEP FOUR
Click EDIT to begin building your invoice.

FINAL STEP
Click SEND in the upper-right corner of the invoice builder.
Review and customize the following email information:
- Recipient email address
- Subject line
- Message
When the invoice and email details are correct, click SEND at the bottom of the invoice builder.
Zibster will send the invoice notification to your client.
CONFIRMATION
After the invoice has been sent, a confirmation message will appear to let you know it was delivered successfully.
The invoice will also remain available in the INVOICES section of your Quotes & Invoices Dashboard, where you can review its details and payment status.
Can I Change The Invoice Number?
Invoice numbers are automatically generated by Zibster and cannot be edited or customized.
To include your own tracking number, job ID, session number, or internal identifier, enter it in the Reference field under Other Details.
The reference will appear on the invoice without changing the system-generated invoice number.
What Your Client Will See
Your client will receive an email notifying them that an invoice is ready.
The email includes a link to an itemized invoice containing:
- Your business information
- Your Global Branding
- Your logo or business name
- A breakdown of the invoice items and charges
- The payment due date
- Your notes and policies
- A secure payment option
Additional Options and Helpful Notes
Existing ECommerce items can be reused to save time and maintain consistent pricing across invoices.
Use Custom Items for unique charges or services that have not been created in your ECommerce.
Invoice branding is controlled by Global Branding and cannot be customized separately for each invoice.
If no logo is saved in Global Branding, your business name will appear on the invoice instead.
Use the live preview to check the invoice layout, items, and client-facing information before sending it.
Email automations can help reduce missed payments by sending reminders and follow-up messages automatically.
