How to Manage Spam and Suspicious Emails in Zibster Mailbox
Overview
Zibster Mailbox includes spam filtering tools to help reduce unwanted and suspicious emails. If you notice more spam than usual, it does not always mean something changed with your mailbox. Spam can increase suddenly when your email address is picked up by a spam list, scraper, or automated spam campaign.
This guide explains what to do when spam increases, how to handle suspicious emails safely, and when to use your Spam folder, Block List, or Safe List. It also explains why some Zibster and notification server entries may appear in your Safe List automatically.
Why Spam May Suddenly Increase
Spam can sometimes increase suddenly, even if your mailbox settings have not changed. This usually happens when your email address is targeted by a new spam campaign or added to a spam list.
This can happen if your email address is:
• Listed publicly on your website
• Shared on social media
• Included in online directories
• Used on older contact forms or business listings
• Collected by automated spam tools
• Included in a third-party contact list or data exposure
If the unwanted messages are already going to your Spam folder, your mailbox is identifying them as spam. If spam messages are reaching your Inbox, you can mark them as spam to help improve filtering for similar messages in the future.
What To Do If Spam Is Going To Your Spam Folder
If unwanted messages are going directly to your Spam folder, your mailbox is already filtering them away from your Inbox.
You can leave those messages in the Spam folder or delete them after confirming they are not legitimate. You do not need to move spam messages back to your Inbox.
If a legitimate email is accidentally placed in the Spam folder, you can move it back to your Inbox and consider adding the sender to your Safe List if you trust them.

What To Do If Spam Is Reaching Your Inbox
If spam messages are showing up in your Inbox, mark them as spam instead of only deleting them. Marking a message as spam moves it to the Spam folder and helps your mailbox better identify similar unwanted messages in the future.
Deleting a spam message removes it from your mailbox, but it does not help the spam filter learn from that message.

What To Do If Spam Comes From The Same Sender
If you keep receiving unwanted emails from the same sender, domain, or IP address, you can add that sender to your Block List.
The Block List is best for repeat senders. Once a sender, domain, or IP address is added to your Block List, future messages from that source will be filtered out and will not appear in your Inbox.

What To Do If Spam Comes From Many Different Senders
If each spam message comes from a different sender or domain, blocking each one may not be effective. This usually means your email address is being targeted by a larger spam campaign using many different sender addresses.
In this situation, the best option is to continue marking unwanted messages as spam. You can still use the Block List if you notice repeat senders or repeat domains, but marking messages as spam is usually more helpful when the senders keep changing.

How To Handle Suspicious Or Phishing Emails
Phishing emails are fake messages that try to trick you into sharing private information, such as passwords, payment details, account access, or personal information. These messages may pretend to be from trusted companies or services.
If an email looks suspicious, do not click links, open attachments, reply to the sender, or provide account details. Mark the message as spam instead.
Watch for these common warning signs:
• The sender email address does not match the company’s official domain
• The message uses a generic greeting, such as “Dear Customer”
• The email includes spelling errors or unusual wording
• The message creates urgency or threatens account closure
• The email asks you to click a suspicious link
• The email includes an unexpected attachment
• The sender asks for passwords, payment details, or sensitive information

Zibster Mailbox Provider And Official Communication
Zibster Mailbox is powered by Rackspace, our email service provider. Rackspace helps provide the mailbox service, but Rackspace does not contact Zibster Mailbox clients directly about their mailbox.
Any official communication about your Zibster Mailbox will come from Zibster, not Rackspace.
Zibster will never ask you to send your mailbox password, account password, payment details, or other sensitive information by email. If you receive an email asking for your password or asking you to verify sensitive information through an unexpected link, do not reply, click links, or open attachments. Mark the message as spam and contact Zibster Support if you are unsure.
Safe List vs. Block List
Zibster Mailbox includes both a Safe List and a Block List. These settings do different things.
The Safe List is for senders you trust and want to allow through your mailbox filtering. This is helpful when a legitimate sender’s emails are going to spam.
The Block List is for senders, domains, or IP addresses you do not want to receive messages from. This is helpful when unwanted emails repeatedly come from the same sender or domain.
Zibster automatically adds trusted Zibster and notification server entries to the Safe List for Zibster Mailbox clients. These entries help make sure you receive important messages from Zibster and your website, including order notifications, form submissions, billing emails, account messages, and other system notifications.
Do not remove Zibster or notification server entries from your Safe List unless Zibster Support instructs you to do so.

Why You May See Zibster Entries In Your Safe List
Zibster automatically adds trusted Zibster domains, along with related notification servers, to the Safe List for Zibster Mailbox clients. These entries are added so you do not miss important business and account emails.
These messages may include:
• Order notifications
• Form submission notifications
• Website notifications
• Mood Board notifications
• Billing emails
• Account messages
• Other Zibster system notifications
You may see Zibster or notification server entries in your Safe List that you did not manually add. These entries are expected and help prevent important emails from being filtered as spam.
Do not remove these entries unless Zibster Support instructs you to do so.
What To Do If You See Unfamiliar Safe List Entries
Your Safe List should only include trusted senders, domains, and notification sources. Some entries are added automatically by Zibster to help deliver important system emails from Zibster and your website.
If you see an entry you do not recognize, first check whether it appears related to Zibster or website notifications. Do not remove Zibster or notification server entries unless Zibster Support instructs you to do so.
If you are unsure whether a Safe List entry should remain, contact Zibster Support before removing it.

Troubleshooting And FAQs
Did something change with my Zibster Mailbox if I suddenly receive more spam?
Not necessarily. A sudden increase in spam often means your email address was added to a spam list or targeted by a new spam campaign. This can happen even if your mailbox settings have not changed.
Why are spam messages showing in my Spam folder?
Messages in your Spam folder have already been filtered away from your Inbox. This means your mailbox identified them as unwanted or suspicious.
Should I delete spam or mark it as spam?
If the message is in your Inbox, mark it as spam. This helps your mailbox identify similar unwanted messages in the future. If the message is already in your Spam folder, you can leave it there or delete it after confirming it is not legitimate.
Should I block every spam sender?
Blocking is most helpful when spam repeatedly comes from the same sender, domain, or IP address. If every spam message comes from a different sender, marking the messages as spam is usually more effective.
Why are there Zibster entries in my Safe List that I did not add?
Zibster automatically adds trusted Zibster domains, along with related notification servers, to Zibster Mailbox Safe Lists. These entries help make sure important emails from Zibster and your website are delivered, including order notifications, form submissions, billing emails, account messages, and other system notifications.
Do not remove these entries unless Zibster Support instructs you to do so.
Will Rackspace contact me directly about my Zibster Mailbox?
No. Zibster Mailbox is powered by Rackspace, but Rackspace will not contact Zibster Mailbox clients directly about their mailbox. Any official communication about your mailbox will come from Zibster.
If you receive a message that claims to be from Rackspace and asks you to click a link, verify your mailbox, restore access, reactivate your mailbox, or provide your password, treat it as suspicious. Do not reply, click links, open attachments, or provide sensitive information.
Will Zibster ask for my mailbox password by email?
No. Zibster will never ask you to send your mailbox password by email. If an email asks for your password, payment information, or account details, mark it as spam and contact Zibster Support if you are unsure whether it is legitimate.
Can I remove senders from my Safe List?
Yes, but you should be careful when reviewing Safe List entries. Do not remove automatically added Zibster or notification server entries unless Zibster Support instructs you to do so.
If you see a sender you added yourself and no longer trust, you can remove that sender from your Safe List and save your changes.
What should I do if I accidentally mark a real email as spam?
Open your Spam folder and move the message back to your Inbox. If you trust the sender and want to help prevent future messages from going to spam, you can add the sender to your Safe List.
What should I do if I accidentally block someone?
Open your Spam Settings, go to the Block List, remove the sender, and save your changes.
How do I know if an email is really from Zibster?
Check the sender email address carefully. Be cautious with lookalike domains, misspellings, unusual characters, or messages asking for sensitive information. Any official communication about Zibster Mailbox will come from Zibster, not Rackspace.
If you are unsure whether a message is legitimate, do not click links or open attachments. Contact Zibster Support for help.
